Transmittal Reporting System

The transmittal reporting system provides a report in the form of a Microsoft Excel workbook, for transmittals and distribution orders. Users can define what is included in the report. The transmittal reporting system was designed on the premise of providing the information in the best possible format. Its purpose is to present the information, not for submitting information into other systems.

Although the transmittal reporting system only populates data onto the first worksheet of an Excel workbook, users may populate other worksheets within the Excel file.

The system uses eQL based tags to populate data into worksheet cells. This eQL code can be created via the Query Editor, in AssetWise Director.

Cover sheet files are Excel (.xlsx) workbooks. Sample cover sheet files are located with the AssetWise Information Integrity Server CD Images, in the following folder: Documentation\Cover sheet samples.

Cover sheet capabilities include:
  • Exporting AssetWise object metadata and file information to an Excel spreadsheet
  • Support for repetitive information such as a row containing the same Document Number/Middle/Rev repeated for each file associated to the document
  • User has the ability to add a logo as well as determine the format and data to be included in the cover sheet, using a template file
  • Specifying delimiters between multiple extracted fields within the same cell.
The types of metadata supported in an ALIM Web cover sheet are:
  • Transmittal properties
  • Distribution Order properties
  • Distribution Items (i.e., documents) properties, attributes, responsibilities (for example, Originator), cross references (for example, Customer ID), relationships (for example, Project, Tag, and Location)
  • Date Time metadata (Date only, as per the user's Local Settings defined format)
  • Relationships and responsibilities support extracting Code (Number), Revision (Version), Middle (for documents), and Name (Description) of the related object including:

    – Filtering of related objects based on related object class and/or relationship/responsibility type is allowed

    – Extracting primary item Code and Version for tags

    – Extracting virtual item group Code and Revision for grouped virtual items

    – Extracting Code, Initials, FirstName, Surname, and FullName for Persons (for example, Issued by)

    – Extracting FileName, FileType, and FileSize for files
